What “EDI Compliance” Actually Means, in Plain Terms

“EDI compliance” sounds like a certification you either have or don’t. Operationally, it’s three documents moving in the right order, in the right format, on time — and a warehouse process disciplined enough to make sure the physical shipment matches every one of them.

  • 850 — Purchase Order. The retailer tells you what to ship, in what quantities, by what date, to which distribution center. Everything downstream has to trace back to this document exactly.
  • 856 — Advance Ship Notice (ASN). Sent before the truck arrives, this tells the retailer’s DC what’s coming: carton count, carton contents, weights, and the appointment or delivery window. An ASN that doesn’t match what’s physically on the pallet — wrong carton count, wrong SKU quantities, wrong ship date — is one of the single most common sources of retail chargebacks, because it breaks the receiving DC’s automated check-in process.
  • 810 — Invoice. Sent after shipment, this has to reconcile with the PO and the ASN. Mismatches here trigger short-pay deductions even when the physical shipment was correct.
